A resource mailbox is a mailbox that represents conference rooms and company equipment. Resource mailboxes can be included as resources in meeting requests, providing a simple and efficient way to manage the scheduling of resources for your organization. There are two types of resource mailboxes in Microsoft Exchange Server: room and equipment. Room mailboxes are assigned to a meeting location such as a conference room, auditorium, or training room. Equipment mailboxes are assigned to a resource that is not location specific, such as a portable computer projector, microphone, or company car.
NOTE: In order to manage a Resource Mailbox you must login to OWA as a user that has been granted full control of the resource mailbox.
After your resource mailbox has been created, you must configure it.
- From within Outlook Web Access (https://mail.chinookcommunications.com), login with a user account that has been granted full permissions to the mailbox, and then click the arrow next to your name in the upper-right corner of the page. You will see the Open Other Mailbox window.
- Type the email address of the resource in the text field and click Open.
- After the room resource mailbox opens, click the Options button found toward the upper-right of the screen.
- Click Settings from the menu on the left, and then click on the Resource icon in the ribbon.
Configuring Resource Scheduling Options
All resource scheduling options are dependent upon the first check box, Automatically process meeting requests and cancellations.
NOTE: If you do not check this box, none of the settings below it will take effect.
Managing Resource Scheduling Permissions
In the Scheduling Permissions section on the Resource tab for a specific resource mailbox, you can manage resource reservations.
